Project Manager

Why this role exists

SOWA coordinates several disciplines (strategy, creative, technology and measurement) for every client, and that coordination currently leans heavily on the founder. This role exists to own delivery end-to-end: scope, owners, deadlines, communication, capacity and risk. A new client or project should not automatically become new operational work for the founder.

What you will own

  • Kick-offs: confirming goal, scope, deliverables, owners, dependencies and deadlines.
  • Building and maintaining the working project plan in Monday.
  • Coordinating specialists: briefs, handoffs, and dependency tracking.
  • Day-to-day operational contact with the client and following up on missing materials or decisions.
  • Tracking time, points or budget usage and flagging risk early.
  • Weekly status, blockers, next steps and escalations.
  • Change control: catching out-of-scope work before it happens, not after.
  • Project close-out: sign-off, archiving and retrospective.

What good performance looks like

Milestones land on time. Scope changes are agreed, not silently absorbed. Budget and capacity surprises do not happen. Blockers get a fast response. Projects run without routine founder intervention.

Required competencies

  • Building a realistic project plan and tracking dependencies.
  • Scope and change control.
  • Reading capacity, time-tracking and budget data, and acting on it.
  • Clear, confident client communication.
  • Briefing specialists well and checking the quality of what comes back.
  • Ownership, and coordinating people who do not report to you.

Nice to have

  • Agency or B2B services experience.
  • Experience running international projects.
  • Familiarity with Clockify or a similar time-tracking system.
  • Experience coordinating content, video or web-development delivery.
  • Strong English.

Tools, team and working context

You would work directly with SOWA's specialists across strategy, creative, technology and measurement, and report to the General Manager. Project management is not a billed client service at SOWA. It is how delivery actually runs. Day-to-day tools include Monday, Clockify, and Google Workspace / Microsoft 365.

Working arrangement

  • Location / work mode: Poznań, hybrid. Regular work with the team in the office 1-2 days per week.
  • Contract: Umowa zlecenia or B2B.
  • Compensation: PLN 50-65 gross/hour under umowa zlecenia, or PLN 60-75 net + VAT/hour under B2B.
  • Workload: approximately 80-120 hours per month, project/task-based work with predictable availability for ongoing client service.
  • Initial period: The first 3 months are treated as a mutual verification and onboarding period.

Practical task

The scenario below is fictional. It is not a real SOWA client or project, and your answer will not be used as production work.

A fictional client project is mid-delivery. The client has just requested a scope change without an agreed extension of time or budget. The specialist who owns the affected deliverable is already overloaded with other work this week. The client is waiting for a status update they were promised two days ago. The original deadline is in five days, and ownership of the scope-change decision is not yet clear between you and the client-side stakeholder.

  1. Explain the first actions you would take, in order.
  2. Explain how you would communicate with the client and the specialist.
  3. Describe the status update you would send, in the style you would actually use (e.g. a Monday.com-style update).
